| When using our services tournament planners direct golfers to
the online registration form we build. This can be done by creating
a “Click here to register” link from a website to the online form
hosted on the ePly Server.
When a golfer wishes to register for the tournament event, they
will click the link and be taken directly to the online form.
tournament planners may also communicate the address of the online
registration form directly to participants via email, mail, fax,
etc.
Golfers enter their information into the online form, select
a payment
option then click “submit”. Golfers entering a valid email
address will receive a confirmation email containing content supplied
by the event planner.
Tournament planners access the submitted information by logging
into the online database from the ePly Golf website. Once
logged in, reports are available showing golfer lists, contact information,
payment reports etc.
The information in the database may also be downloaded by the
tournament planner to use with scoring systems, print name tags
and address labels or to be added to an existing database.

1. One online form with any
of the following sections.
In each section some typical
fields are suggested. Only the fields required for your tournament
will appear on your online form.
Section #1 - Tournament Information
and Logos
- Space is provided at the top of the online form to post the
time, date and location of the tournament and two logos.
Section #2 - Sponsorship Options
- up to ten sponsorship options that can be selected
Section #3 - Information About
the Person Registering
- first name, last name, business name, address, city, postal
code/zip, province/state, phone number, fax number, email address
and website
Section #4 - Tournament Registration
Options
- complete foursome yes/no, number of singles, number of people
attending the reception/dinner only
Section #5 - Player Information
- first name, last name, business name, address, city, postal
code, province, phone number, fax number, email address, website,
handicap or index, shirt size, special requirements
Section #6 - Payment Information
- pay by cheque,
pay
by credit card (manual), name of credit card, credit card
type, credit card number, expiry date, receipt yes/no, invoice
yes/no, comments
2. Online Form Features
- The colours of the form are
adjusted to match the tournament's website or printed material.
- The amount a player owes is
automatically calculated by the system to ensure its accurate.
- Programming is added to prevent golfers from making invalid
selections.
3. Features For the Tournament
Organizer
- Tournament organizers have unlimited
access to the always up to date online reports during the reply
period and for thirty days after the tournament.
- Tournament organizers can edit
the information in the database to update payment status, correct
spelling etc.
- Tournament organizers can assign
starting positions to each foursome using the online draw sheet
tool.
- Tournament organizers can download
an excel spreadsheet of all the information in the database.
This can be exported to scoring systems or used to make name tags,
mailing labels etc.
4. General System Features
- Each person registering will
receive an automatic confirmation email. The content of this email
is determined by the tournament organizer and can include times,
dates, location, links to sponsors websites, etc.
- Credit card information is collected
on the online form using SSL (secure socket layer) technology,
is encrypted and emailed to a designated to person who will decipher
the information and process the credit card manually. The application
to decipher the information is provided by ePly Services.
- The form will be online for
up to six months prior to the tournament.
