Before we begin setting up your online form we require some basic
information.
Please review the list below and email the details that relate
to your tournament to info@eply.com.
Be sure to include any additional information relevant to your event
that is not asked for here and any special requests you may have.

For all forms we need the following:
Golf Specific:
- If you want sell sponsorship packages online what are they,
how much do they cost and are there any golf entries, dinners,
etc. included.
- If you want to allow people to make additional cash donations,
donate silent auction items or prizes.
- The cost to register an individuals and foursomes.
- The cost of extra dinner tickets if available.
- The information you would like to collect from each player
(name, email, address, handicap/index etc.).
General:
- The date you would like your online form to be live.
- The date you would like your online form to close.
- Any graphic images such as logos that you would like to have
on your form, see below for details.
- Any text that you would like displayed at the top of your
form (time, date, location, instructions etc.).
- The fields you would like to have on your registration form
(name, address, phone number etc.). If you have a registration
form from a previous event it may be easier for you to email or
fax us a copy.
- Which fields you would like set as mandatory to complete.
- The website address you would like us to model the look of
your form after.
- The details of the confirmation email sent to participants
after they complete the online form. Please include the
following:
• 'From' email address that will display in the email.
Tip: You may want to use the following format:
John Doe<jdoe@somewhere.com>
This would display as 'John Doe' to the recipient (rather than
'jdoe@somewhere.com')
• 'Subject' line that will appear in the email.
• 'body' of the email, providing any important information you
want to send to every guest.
Note - you will be able to edit the details of the confirmation
email once your event is live.
Payment Information:
- Which
payment
options you would like on the form - credit card, cheque,
cash, invoice.
- If accepting credit cards, please indicate what type of credit
cards you accept.
- Member and Non Member pricing if applicable.
- Early bird pricing and dates pricing changes if applicable.
- The price options must indicate whether applicable taxes are
included in your prices, or are to be added on. If tax is
to be added on, please indicate the rate (ie: GST= 7%).
- The email address that encrypted transaction information should
be sent to if using manual processing.
- Online merchant account and gateway company details if using
automatic processing.
- A cancellation policy if you have one, this is a requirement
if you are automatic credit card processing.
Image specifications for online forms
ePly's clients are responsible for providing all graphic images
to be used on their online forms in a ready to use format. Service
charges may apply if ePly Services is required to modify an image
to make it work on the online form.
To avoid service charges, please observe the following criteria:
- Images need to be saved in JPEG or GIF file formats.
- Images must not exceed 700 pixels in width.
- Image resolution should be 72dpi.
- Image file sizes should be kept as small as possible. Some
people may be accessing the internet with a slower dial up connection
and a 100kb file can take up to 30 seconds to download. File sizes
should be less than 30kb.
If you are unable to get your images to meet the above criteria,
ePly Services is happy to provide the following services at no
charge:
• resize an image
• change the file format
For graphics work beyond this, we are available to make changes
such as cropping images, removing backgrounds, altering colours,
merging images etc. at the hourly rate quoted in your contract
billed in fifteen minute increments.
Please note – when a client requests ePly Services to resize an
image the quality of the image may deteriorate depending on the
amount of resizing required and the file type. If the image deteriorates
beyond the satisfaction of the client, the client is responsible
for providing a more appropriate image.
